Fleet News Awards Summer Garden Party – FAQs

What should I wear? We’re not talking dinner suits, black ties and evening dresses this year, we want you to feel comfortable and enjoy the Summer Garden Party vibe!

Ladies – think midi/maxi dresses, skirts, smart trousers, jumpsuits/playsuits and similar - as the event is on lawn, we would suggest flat shoes or wedges for your comfort.

Gentlemen – time to pull out your chinos (or tailored shorts if weather allows!) with short sleeved shirts or a polo shirt. But don’t forget this is England, so perhaps worth having a jacket or V-neck close to hand.

What time should I arrive? All guests will be asked to arrive for 12 noon, where they will be greeted with a summery drinks reception. 

Where do we park? If you are arriving by car then Carpark 3 – literally across the road from the entrance to Ascot – is our dedicated FREE car park for this event. Full details can be found here - https://awards.fleetnews.co.uk/the-ceremony/location

I am coming in my EV – are there electric charging points for my car? Whilst there are no on-site charging points at Ascot, there are a number of local garages that offer charging facilities – details can be found here - https://www.zap-map.com/locations/ascot-charging-points/

What if I am arriving by train? Ascot train station is a seven-minute walk from the venue via a spacious paved area away from roads. South Western Railway runs a frequent service to Ascot from Reading, Guildford and London Waterloo.

What time are we eating? The 5* BBQ will be available from 2pm, with desserts available from 4:15pm once the award ceremony has come to a close.

What food will be served? Ascot will be providing the ultimate outdoor garden party menu.

Charred corn, marinated carrot and crisp broad beans

What if I have special dietary requirements? Don’t worry, Ascot will be able to cater for you. Closer to the time we will collate any special dietary requirements and share with the venue.

Will there be drinks on my table like at the Grosvenor? There will be a drinks reception available on arrival and each guest will be given two tokens that can be exchanged for drinks at the bar throughout the afternoon.

How can I buy extra drinks? There will be a cash bar available (taking both cash and credit card).  If you are a table host, you also have the option to set up a company tab in advance directly with Ascot.

What are the seating arrangements? All tables will be planned out beforehand, all companies (no matter how many tables have been booked) will be sat together. Every guest will be sat at Picnic style tables of 4 or 6.

Where will my table be situated? Working alongside the Ascot event team we are creating a dedicated guest zone where all tables will be situated.  The tables will be laid out on the lawn in front of the pavilion under a large covered truss structure and facing the specially erected centre stage, where the award ceremony will take place.

What happens if it rains? Whilst we hope the sun shines on us all in Ascot, we appreciate no one can predict the Great British summer! We will certainly be keeping an eye on the weather forecast in the days leading up the 6th July and won’t make you stand out in the rain!  The seating area will be fully covered by a marquee overhead and pre-dinner drinks will take place in the Furlong Club structure.

What Accessibility options are available into and around Ascot? Each entrance to the racecourse has a pass gate. This allows easier access for wheelchair users (electric and manual), and those accompanied by working dogs. Once inside the racecourse, ramps and lifts are available to access different levels.

How will I know who else is attending? We are aiming to go paper free this year, but there will still be full guest lists available on the day so you can locate who you want to catch up and network with. We will also look to supply digital versions of the guest list in advance.

Will there be entertainment? Of course… it wouldn’t be the Fleet News Awards without some entertainment. But we are keeping those details under our (racing) hats for now – we don’t want to give away all of our secrets!
